    Library Associate I

     

    Job Description:

    Provides advanced customer support and performs complex library functions in one or more library units. May supervise subordinate staff and student employees.; Work hours: Mon-Fri; 8 AM-5 PM or as work requirements indicate

     

    Responsibilities:
    40% Responsible for the maintenance of library's accounting files including, but not limited to: Logs accounting data in appropriate library accounts using spreadsheet software and other required databases; Works closely with Business Services staff to ensure prompt payment of all invoices and departmental transfers; Works closely with the Assistant to the University Librarian to ensure accuracy of all financial reports; Provides budget and statistical information as requested.

     

    40% Responsible for the library's acquisitions process including, but not limited to: Purchases and received library materials, equipment, supplies and other orders using multiple fund source accounts in accordance with Library, Tarleton, A&M, and state purchasing guidelines; Verifies vendors/products and places orders using local purchasing guidelines and procedures; Routes materials/items through appropriate library department; Maintains current and historical files to facilitate tracking of orders and in compliance of state retention guidelines; Acts as liaison between the Library and vendors, Business Services, and/or Purchasing and documents communications related to purchase transactions for library requests; Notifies vendors for returns and account credits as needed; Processes and maintains departmental procurement card records following university guidelines and procedures.

     

    10% Supervises student worker(s) assigned to Acquisitions including, but not limited to: Schedules, trains and evaluates to ensure needs of department are being met and materials are processed and routed in a timely manner; Maintains training programs and manuals; Responsible for processing and accuracy of timesheets for student workers; Works cooperatively with others as well as directs the work of others; Ensures the accuracy of student worker(s) work; Performs other duties as assigned as well as committee assignments and participation in staff development programs.

     

    10% Responsible for maintaining supply inventory including, but not limited to: Orders and stocks supplies ensuring adequate inventory of materials at all times; Coordinates supply needs with campus Central Receiving/Stores; Maintains an online inventory.

     

    Education and Experience:
    High school diploma or equivalent combination of education and experience. Four years of experience in a public or academic library or archive; or five years of general clerical or office experience, which includes general accounting and use of spreadsheets.

    Knowledge, Skills and Abilities:

    Knowledge and experience with email, spreadsheet, and word processing applications, including basic keyboarding skills. Basic knowledge of business processes and library resources. Excellent attention to detail with the ability to multitask and work cooperatively with others.
